“Versioning” is a process that tracks changes to a document and records who made the modification. This enables a user to reverse to a previous version of the file without having to save multiple copies. Box provides versioning for files and will keep up to 100 versions, which are accessible through the Box web interface. Office 365 is the future of Office. Most people probably don’t need the full-fledged programs at home and could live with Google or Apple’s productivity tools. But at these prices, it’s hard not to give this a long look.

Google Maps is trying to ramp up its “Local Guides” feature by offering new rewards for people who leave reviews and photos, answer basic questions, and update other information. Google describes Local Guides as “a global community that helps you explore the world while earning perks,” and the feature is obviously in competition with Foursquare and Yelp in terms of attracting users and reviews of local businesses.

While Essentials Starter plans offer 15GB per user, most organizations will want to select a Workspace plan that offers pooled storage of 2TB per user—or more.

For folks that just want to store files but don’t need Office, Microsoft is still a strong player. It matches Google at the low end with an inexpensive 100GB plan for just $1.99 a month. Better still, its OneDrive for Business plan right now is just $2.50 a month for 1TB. That’s 70% less than Dropbox charges, even if you pay in advance.

If you’re considering a move to Google Workspace, storage can be a critical concern. Unlike a conventional server or network storage device, where storage is set by the size of drives you select, Workspace storage works a bit differently. Storage limits are linked to the plan you select.

The following paragraphs cover the various storage limits in Google Workspace and may help you select the plan most appropriate for your organization’s storage needs.

This move is essentially Google trying to farm out the huge task of collecting information on thousands of local restaurants to the people. As Wikipedia has shown, thousands of volunteers working together compiling information can be extremely efficient. And unlike Wikipedia, Google can actually can offer incentives, making people more likely to participate. A terabyte costs $9.99/mo otherwise.

Android users who take a lot of photos will especially value the shared storage pool. Although Google+ takes a lot of criticism, its picture-handling features (like Auto Awesome) are fantastic and the free space allocation is generous. But one of the best features of Google Drive is that for less than $25 per year, you can upgrade to the 100GB plan. That’s more than most people can hope to use for photo, mail and file storage and it’s a bargain. Yes, the terabyte for $99 from Dropbox is a better deal. And, no, Google doesn’t apparently offer a discount for buying the year in advance. But if you don’t need that kind of space and are otherwise a big Google services user, Drive is a winner.

Shared links allow you to grant read-only access to content for both internal users (i. e., box. utah. edu users) and external users. For more active collaboration, you can share files and folders with both internal and external users by adding them as collaborators to your folder(s) and set a variety of permission levels ranging from viewer to editor to co-owner. Unlimited storage is available on Enterprise plans, such as Enterprise Standard or Enterprise Plus, as long as your organization has a minimum of five accounts. The limit drops to 1TB each if your Enterprise plan has four or fewer accounts. If you need huge amounts of storage, sign up for an Enterprise plan and maintain at least five active accounts.

Google is giving away 1 TB of storage for two years with every purchase of a Chromebook. Basically the same price as the Chromebook itself. I haven’t used the Chromebook yet, if I was to go that route, it would probably end up as an extension of my smartphone (currently Galaxy S3). The keyboard and mouse are sometimes just easier to get around, type, navigate etc. Personally I need something that can run 64 bit applications for photography, designing and video editing. Starting at $250.00 the Chromebook is a good competitor to some of the other tablets and laptops.

Google launched a new promotion to boost Chromebook sales for the holiday season–1TB of free Google Drive cloud storage for two years. The thing is most people won’t come close to using 1TB of cloud storage, and those that do need 1TB or more can find better deals, so the offer is not much incentive in and of itself.

Here’s the full point system according to Google:

The best thing about Dropbox historically on iOS has been that many apps just use it as a matter of course. It’s been the de facto file system on the iPhone and iPad. Changes coming in iOS 8, however, mean that will no longer be true. Any storage provider will be able to hook into iOS (Android has been more flexible in this respect for some time), blunting the advantage of Dropbox. Another change — at least for Apple users — is that photo storage improves greatly in iOS 8. Dropbox had built in some hooks to work around limitations of Apple’s Photo Stream but those, too, are going away. Still, hundreds of millions of people have already downloaded it and use at least the free version of Dropbox. It’s not going anywhere, which makes it a solid option if you really need a lot of space.

Users will earn points for each contribution, and the more points you have, the bigger the bonuses.

Not long ago, I expected to stop using Office forever. But with what Microsoft has done, I’d have to recommend most people take a long, hard look at the two Office 365-based options. The iOS crowd should jump on board with a better iCloud plan immediately on the release of iOS 8. In fact, you might need to in order to complete an iCloud backup before upgrading. (More on that in an upcoming post.) As for everyone else, the best argument for Dropbox is that you use it at work. The company has taken strides to make it possible to keep your personal and corporate data from intermingling but otherwise allow you to use one servivce. Otherwise, Dropbox offers little for the money. You can remotely wipe many devices without Dropbox’s help and the free version is sufficient for occasional filesharing. Google’s mid-level plan is compelling for power Android users and anyone who has accumulated a giant Gmail account over time.

As a user of the university’s Box service, you are responsible for all data and content that you upload to the Box service or otherwise create using the Box service (collectively, “Data”). In addition, you agree to abide by the following rules in connection with your access to and/or use of the Box service:

Can I download my Box data?

Google and Microsoft also offer terabyte storage for similar prices to Dropbox. And Apple has promised a terabyte offering of its own, almost certainly to roll out with iOS 8 in the the middle of September. Pricing is still unknown, but based on Apple’s $3.99/month for 200GB, it’s going to be no worse than twice as expensive as the competition and likely far more competitive than that. Sorting through the pluses and minuses of what each company has to offer, especially the myriad choices from Microsoft, is no easy feat. Before getting to that, though, it’s important to point out why this matters. These days, your PC or Mac is less likely to be with you, but your desire for your data is stronger than ever.

Three plans—Essentials Starter (15GB), Business Starter (30GB) and Workspace for Nonprofits (30GB)—have quite limited storage. Since Google calculates storage across Drive, Gmail and Photos, in my experience most organizations need more storage than these plans offer.

Individual documents have size limits as well. A document may contain up to 1.02 million characters, or, if converted from another format (e. g., .docx) up to 50MB. A spreadsheet may have as many as 10 million cells. A converted presentation file (e. g., .pptx) may be no more than 100MB.

No files may be larger than 5TB. In the vast majority of cases, files will not be anywhere close to this limit. Additionally, an individual may not upload more than 750GB of files per day. If you transfer a file larger than this, or one that places you over the limit, it should finish, but you’ll need to wait for another day to transfer additional data.

Also note that the internet connection speed affects the speed of file transfers between a device and Google Drive. Most standard office files and images won’t present a problem, but large video files can take time to transfer. Google’s systems may take a bit of time to process a video file, even after an upload completes.

Can I download my Box data?

If you have a household with up to 5 computers and 5 tablets, the Office 365 Home version is still just $9.99. And for each computer, you get a full terabyte of storage. That’s an exceptional deal just on the storage side, never mind that you’re getting Office thrown in for up to 10 devices. The computers can be Macs or PCs, the tablets can be iPads or the Surface RT/Surface 2 (Surface Pro counts as a computer). Microsoft throws in a smartphone app, too, that allows you to do limited manipulation on a small-screen device. Support for Android tablets is coming, but isn’t here yet. If you only have one computer and a single tablet, the Personal version will save you $30 a year and includes 1TB of storage.

From a storage perspective, most organizations should explore plans with pooled storage. Specifically, I suggest most organizations consider either Business Standard (2TB per user) or Business Plus (5TB per user). For example, an organization that uses Business Standard with 10 active accounts would have a total storage limit of 20TB (i. e., 2TB per account x 10 accounts). Pooled storage means that any account may use storage in excess of 2TB, as long as the total storage used across all organizational accounts did not exceed the pooled limit.

Apple’s announcements at the Worldwide Developers Conference earlier this year demonstrated its intentions to compete here. But what was an exciting 200GB offering then is pretty middle of the road now (twice what Microsoft and Google offer for twice the money). The company did commit to a terabyte plan and it would be surprising to see it priced higher than the competition, especially considering that iCloud Drive is aimed squarely at Dropbox.

Google Drive is a bit of an odd bird. It’s very cloud-centric and very much built around Google’s Office-like apps. But it’s also a basic storage service like Dropbox. As a practical matter, this can make it a bit less brain-dead simple to use but sometimes more powerful. Google, for example, bundles something called QuickOffice to let you work with Microsoft Office documents on your smartphone. And it offers nice integration with Gmail, making it simple to download attachments directly into Google Drive.

Google announced a new promotion today designed to entice customers to buy a Chromebook. Eligible Chromebook owners have between now and January 15, 2015, to take advantage of the offer of 1TB of Google Drive cloud storage for two years. It sounds good on paper, but most people won’t really get any value out of it, and those who do will have to decide whether they want to continue paying for the service when that two year period expires.

The Information Security Office has approved the use of the university’s Box. com installation for storage of HIPAA and FERPA data, in accordance with relevant privacy laws and subject to appropriate usage as outlined in the University’s Box Acceptable Use Policy (PDF).

The cost of storing your data has been in free fall. Two days ago Aaron Levie, the CEO of cloud-storage company Box tweeted : “When we started Box, we used 200GB hard drives. Soon we’ll be using 8TB hard drives. 40X improvement in 10 years.” A short while later, legendary technology investment banker Frank Quattrone replied: “My first IPO was in 1982 for Quantum which made 80MB HDDs (used 4 20MB discs) the size of a shoe box (8″ form factor) sold for $2000.” It should come as no surprise then that the leap from 80 megabytes to 8 terabytes — a 100,000-fold improvement from the year the IBM PC was born — has “trickled up” to the cloud. Box’s competitor Dropbox yesterday increased by 10 times the amount of storage on its $9.99-per-month plan, going from 100GB to 1TB.

While the above addresses Workspace storage (managed by a Google Workspace administrator), you also may want more storage for your personal Google Account, since a free Google Account has a limit of 15GB of storage. Where available, you may upgrade storage to a Google One plan that increases the storage limit to 100GB, 200GB or 2TB.

Microsoft is trying to move people away from software they own to software they rent. The biggest piece of that puzzle is Office 365, a version of the venerable productivity suite that includes apps that sit on your computer or tablet, but a cloud-centric approach to document storage. It’s not very different from what Apple is doing with Pages, Numbers and Keynote, in fact. Office 365 has all the power and complexity of the desktop version of Office. And the iPad apps are the first touch-centric versions of Office Microsoft has produced.
